#Hiring Admin Specialist
Location: I-9/2 Islamabad
Key Responsibilities:
Administrative Support:
- Manage day-to-day office operations including facility maintenance, utilities, and general upkeep.
- Ensure cleanliness and hygiene of the office premises in coordination with janitorial staff.
- Maintain records of office assets, repairs, and service agreements.
- Assist in organizing meetings, appointments, and internal events.
Procurement and Supplies Management:
- Handle minor procurement activities such as purchasing cleaning materials, groceries, beverages, and other general office supplies.
- Monitor stock levels and replenish supplies in a timely and cost-effective manner.
- Maintain vendor relationships and ensure timely delivery of goods/services.
- Obtain quotations, compare prices, and negotiate with vendors for best value.
Record Keeping and Documentation:
- Maintain updated records of invoices, utility bills, lease agreements, and other administrative documentation.
- Prepare reports on office expenses and provide support in budgeting and expense control.
Coordination and Communication:
- Serve as the first point of contact for visitors and external vendors.
- Coordinate with internal departments for administrative support.
- Facilitate communication between departments as required for administrative matters.
Other Duties:
- Support HR and IT teams in basic logistics and administrative needs.
- Perform any other task assigned by the supervisor related to office administration or support services.
Requirements:
- Bachelor’s degree in Business Administration or a related field.
- 3+ years of experience in office administration, preferably in an IT or service-based organization.
- Good understanding of procurement and general office operations.
- Proficiency in MS Office (Word, Excel, Outlook).
- Excellent organizational and communication skills.
- Ability to multitask, prioritize work, and handle confidential information with integrity.
